Problems about a complaint letter

I've got a letter of complaint about the exhibition Sound System 2011 on 23rd to 25th Feb. The sender, Mr Lenung talked about three problems. First, it is the difficulty of registration via online ,then, it is about the overcrowding of the venue. Finally, it is about the lack of leaflets provided for participants.

I am confused about the explanation of those problems to Mr Leung. Can you give me some advice? :)

Approval request of a reply letter

I have received a complaint letter about the exhibition Sound System 2011 on 23rd to 25th Feb. The sender , Mr Leung mentioned three problems after attending the exhibition. Here are the contents of the problems.Followed by each problem, I will give the explanation of the causes and suggestions for actions.

1. Problem about on-line registration
Mr Leung found it difficult to register via on-line system successfully.He spent several hours trying to get onto it. Finally he could just register by fax.
As Mr. Leung visited our website on the first day of the registration, it is crowded for our sever to allow so many people visiting. Our sever have limited capacity to support it. However, our system is stable at normal time.
The suggestion is we should try to improve the capacity of our sever.

2. Problem about overcrowded venue
Mr. Leung complained about the venue of the exhibition is too small and crowded, it also causes the safety problem to attendees.
The reason for the choice of location is that large venues are already booked and we should book the venue earlier.

3. Problem of lack of leaflets
Mr. Leung mentioned that he could not get the leaflets as all of them have been taken.
This is because many of our guests took more than one and we underestimated the demand of the leflets. We should apologise to Mr.Leung for the limited supply. We will prepare more spare copies next time.

Thank you for your letter on 10 March 2011 containing suggestions for our exhibition Sound Systems 2011 which you attended on February. We are delighted that you enjoy our exhibition although there are some organisational problems. We apologise for the inconvenice caused to you.

For the problem of unsuccessful online registration. The first day of our registration online is very crowded and we think you logged in on the first day which caused the failure via online. There are too many visitors browsing our website on that day, as our sever do not have enough capacity. We will try our best to improve the sever's capacity.
